We at Marco understand that a successful retreat requires meticulous planning, seamless execution, and a dedicated team to oversee all the logistics. Our Onsite Coordinator serves as your trusted partner, offering comprehensive support and guidance throughout the retreat. With a keen eye for detail and a commitment to excellence, our coordinator ensures that your event runs smoothly, allowing you to focus on your retreat objectives and make the most of your time. We want you to enjoy the retreat too!
What Our Onsite Coordinator Offers:
- Logistics and Planning: Our coordinator works closely with us (the planning team) to understand the goals and objectives of the retreat. They assist with planning out the daily schedule and organizing logistics for transportation, accommodations, and meals.
- Venue and Setup: The coordinator is responsible for overseeing the setup of meeting rooms, a/v equipment, and any other necessary spaces to ensure everything is in place and functioning correctly. They will communicate with the venue staff to ensure the set up if what your team has envisioned for the space.
- Participant Management: The onsite coordinator manages RSVPs and check-ins, and ensures all attendees receive necessary information and materials. They address any questions or concerns that arise during the retreat and provide support to participants as needed.
- Vendor Coordination: If external vendors or experience hosts are involved, the coordinator liaises with them to ensure smooth coordination. This includes coordinating with the hotel staff, catering services, activity hosts, team-building facilitators, or other relevant vendors.
- Communication and Facilitation: The coordinator acts as a central communication hub, relaying important information to participants and staff. They facilitate the flow of activities, manage time schedules, and ensure spaces are set up for sessions or workshops to run according to the planned agenda.
- Troubleshooting and Problem-Solving: Inevitably, issues or unexpected challenges may arise during the retreat. The onsite coordinator takes charge of troubleshooting and resolving problems promptly. This may involve coordinating with venue staff, arranging alternative solutions, or seeking assistance from the organizing team.
- Feedback and Evaluation: Throughout the retreat, the coordinator collects feedback from participants to assess their satisfaction and identify areas for improvement. They compile this information and provide a comprehensive report to the event planning team for future reference.
Pricing: $1,500
Lump sum per day, plus lodging and meals.
This fee covers 24-hour expertise, support, and dedication of our coordinator, who will be at your service throughout the retreat to ensure its success.
